School Functions and Public Meetings: A Safe Stage for Children, Music Playback, the Prize Table, a VIP Stage and Thousands of Chairs

A school annual function, prize distribution, Independence Day and Republic Day programmes, and a village or town jansabha (public meeting) have one thing in common: people sit in rows of chairs facing a stage, and the programme runs to a fixed schedule. The difference is that at a school the stage belongs to children, and at a jansabha to guests and leaders. Bharat Tent & Light House, Khorra sets up the pandal or German hanger, stage, sound, chairs and lighting for both.
School functions
1. A safe stage for children
Young children dance and act on a school stage, so:
- The stage is not too high, so a fall doesn't hurt, but high enough for parents at the back to see
- Wide, sturdy steps on both sides, so one group can come down while the next goes up
- Carpet on the stage floor, not slippery cloth
- No wires along the stage edges; all wiring runs from the back
2. A place for children to get ready
Children change for each item, so behind the stage we set up two areas screened with kanat, separate for boys and girls, where teachers can get them ready, with a direct path to the stage steps.
3. Music playback
Most school items are performed to recorded songs:
- A mixer that plays songs directly from a phone, laptop or pendrive
- A mic for the anchor, and a separate mic for the principal's or chief guest's speech
- One person with the song list in order, who cues our operator at the mixer
4. Parents and guests
- Rows of chairs for parents, with an aisle down the middle
- Sofas or good chairs in the front row for the chief guest and school management
- A full pandal or shamiyana for a daytime programme to keep off the sun; coolers in summer
5. Prize-giving and the flag
- A covered table on one side of the stage for trophies, medals and certificates, laid out in order
- On Independence Day or Republic Day the flag is often hoisted on the ground; keep the area in front of the flag open for the children's rows, with a shamiyana behind it for guests
Public meetings (jansabha)
6. The guests' stage
- A large, high stage with a row of sofas for the chief guests and leaders
- Mics at the front for speakers, and a large backdrop behind (organisers put up their own banner)
- Access to the stage from the back, so nobody has to go through the crowd
7. Thousands of chairs and clear sound
- Long rows of chairs with aisles so the crowd can move
- A German hanger or large pandal for a big meeting
- Speakers spread through the pandal so speeches reach the last row clearly
- A table and chairs at one side in front of the stage for the media
- A welcome gate at the entrance, with floodlights and a generator for an evening meeting
8. Up in a day, down in a day
A jansabha is often fixed at short notice and the ground has to be cleared the same evening. So tell us as soon as the date and place are fixed; we put up the whole pandal the day before or early that morning and start packing up as soon as the meeting ends. We work the same way for every party and organisation.
Whether it's a school's budget or an organisation's, we split it between stage, sound and chairs at booking; delivery is free within 25 km of Khorra. 99918 64283.
FAQ
What kind of stage does a school function need?
Children's safety first: a stage that isn't too high, wide sturdy steps on both sides, carpet on the floor and no wires along the edges. Behind it, kanat-screened changing areas, separate for boys and girls.
Can songs be played from a pendrive or phone at a school function?
Yes, our mixer plays songs straight from a phone, laptop or pendrive. Give the song list, in the order of the items, to one person who cues our operator at the mixer.
What does a prize distribution need?
A covered table on one side of the stage with trophies, medals and certificates in order, the anchor's mic for calling names, and chairs in front for guests. Bharat Tent & Light House, Khorra sets it all up before the programme.
How many chairs and what kind of pandal does a jansabha need?
As many chairs as people who will sit, in rows with aisles; for a big meeting, a German hanger or large pandal with speakers spread through it. Tell us the expected crowd and we'll work out the chairs and pandal.
The jansabha was fixed at short notice. Can it still be arranged?
Tell us on 99918 64283 as soon as the date and place are fixed. If the items are free, we set up the pandal, stage and sound the day before or early that morning, and clear it the same day after the meeting.
